If your maintenance team is transitioning from spreadsheets or replacing an aging on-prem tool, Zoidii and UpKeep are two modern, mobile-first CMMS platforms you’ll likely shortlist.

They overlap on the essentials—work orders, PMs, asset and parts tracking—but diverge in pricing, analytics, and feature depth.

Here’s a pragmatic, head-to-head comparison to help you choose the right fit for your operation.

Pricing and plans

Zoidii offers three straightforward tiers: Basic ($39/user/month), Professional ($55/user/month), and Enterprise ($75/user/month), with annual discounts available. The transparency is refreshing and makes per-seat budgeting simple.

UpKeep lists Essential ($20/user/month) and Premium ($55/user/month), with a Professional/Enterprise tier above that. The entry price is notably lower than Zoidii’s.

Takeaway: If you need the cheapest on-ramp, UpKeep wins on sticker price. If you want simple, predictable tiers with clear feature boundaries, Zoidii’s pricing page is easy to navigate. For larger deployments, remember subscription is only part of the total cost (see TCO below).

Core capabilities: the CMMS basics

Both platforms cover the “must-haves”: work order creation/assignment, preventive maintenance scheduling, asset hierarchies, inventory, barcodes/QRs, and mobile apps.

  • Zoidii positions itself as a clean, easy-to-use CMMS that emphasizes quick PM setup (including checklists and customizable triggers), fast work order flow, and visibility into labor, parts, and costs. If you value speed to competency for techs, that focus matters.

  • UpKeep delivers similarly strong work management and asset control, framing itself as a mobile-first platform for dispersed teams. It highlights work orders, PMs, asset/parts, and analytics as first-class modules.
Takeaway: You’ll get the fundamentals either way. Zoidii’s value lies in its streamlined interface for day-to-day CMMS tasks. UpKeep’s value, on the other hand, is its lower price for basic features.

Analytics, AI, and automation

This is where buyers increasingly distinguish between “nice to have” and “need to have.”

  • UpKeep has leaned hard into AI. The company promotes an “Intelligence” suite and “Nova,” an AI teammate designed to analyze maintenance data, suggest actions, and even create/assign work orders by conversation. As Nova is relatively new, there are still many unknowns.
Takeaway: If you’re hungry for AI-driven tools that enable easier setup and ongoing efficiencies, Zoidii has the edge today.

Mobile experience and usability

Adoption lives or dies on the shop floor. Both vendors tout a mobile-first approach.

  • UpKeep has a deep footprint of third-party reviews and is frequently profiled as an easy-to-use, productivity-boosting CMMS for technicians and supervisors alike. Software Advice’s listing and feature validation reflect broad market traction and active product development.
  • Zoidii receives positive feedback for its intuitiveness and responsiveness, although it has a smaller pool of reviews. Users highlight quick wins, straightforward navigation, and helpful support—signals that matter when you’re moving a team off paper quickly.
Takeaway: Both are accessible on mobile devices. UpKeep offers more social proof and a larger community, while Zoidii earns kudos for its “it just works” simplicity and support quality.

Integrations and extensibility

  • UpKeep offers an API, webhooks, and low/no-code options via Zapier, plus services for custom integrations—useful if you’re connecting CMMS to ERP, EAM, SCADA/IIoT, or BI tools. Note that API access is typically tied to upper tiers (Enterprise in developer docs), so confirm plan requirements if integrations are mission-critical.
  • Zoidii supports third-party connections, but its public materials are less focused on integration than UpKeep’s. If you need named connectors, ask for a list and any middleware/services required during evaluation.
Takeaway: If integrations and data plumbing are a high priority, UpKeep is the safer bet on documentation and options; verify what’s available on your chosen tier.

Implementation and time-to-value

  • Zoidii has implemented tools like their AI checklist generator and cloning tool, where you can clone entire lines/areas and associated PMs in a much shorter time than any other CMMS on the market. This is especially useful for multi-site implementations that have similar equipment and/or lines. It’s a strong candidate for teams moving from paper or spreadsheet-based scheduling.

  • UpKeep can start small and then grow from there. Although it doesn’t have the same implementation tools as Zoidii, it still makes implementation fairly easy with its mobile-first approach.
Takeaway: Given the tools that Zoidii has built for fast and easy implementation, especially across multiple sites, Zoidii is the clear winner here.

Total cost of ownership (TCO)

Sticker price is only part of the story. Account for:

  • Licensed maintainers vs. free/requester users
  • Implementation/services and data cleanup
  • SSO/security and governance needs
  • Labeling/QRs and mobile device provisioning
  • Integrations (native vs. custom/API) and reporting/BI work
Industry guides peg CMMS SaaS in 2025 at roughly $50–$150 per user/month, depending on features and scale, with annual spend for mid-size teams often $25k–$50k once onboarding and integrations are included. UpKeep’s own content highlights that a CMMS is a meaningful investment that varies in cost according to individual needs.

What shifts TCO? Zoidii’s AI and implementation features may reduce implementation timelines and manual admin time; Upkeep’s simplicity can shorten training and change management, especially for smaller teams. Your environment (single-site vs. multi-site, and the need for API/SSO) will tip the balance.

Where each platform shines

Choose UpKeep if you want to:

  • Join a large, active user community with lots of peer examples and reviews to learn from.
  • Integrate deeply with other systems using APIs, webhooks, and Zapier, with vendor services to help.
  • Begin at a lower price point, allowing room to expand into advanced analytics and governance.
Choose Zoidii if you want to:
  • Deploy quickly with minimal complexity while still covering the CMMS essentials—assets, PMs, WOs, inventory, and cost tracking.
  • Standardize at scale: multi-site oversight, SOPs, and role controls are well supported.
  • Keep pricing simple and predictable with three clear tiers that map neatly to maturity.
  • Work closely with a responsive support team and value fast, practical help during rollout.

Practical evaluation checklist

Before you decide, run a quick, apples-to-apples pilot:

  1. Load 50–100 assets and build 3–5 PM templates (with real checklists). Measure how long this takes in each tool.
  2. Time a full work-order cycle—from request submission to completion—including photo/video capture and parts usage.
  3. Stress-test the mobile in real conditions (poor connectivity, barcode scans, required signatures).
  4. Open the analytics screens your leaders actually use (e.g., PM compliance, MTBF/MTTR, maintenance cost by line). Can you get them without Excel?
  5. Map integrations early—ERP, purchasing, sensors, BI—and confirm which are native vs. services/API, plus any tier requirements.
  6. Validate requester flow—how easily can non-maintenance staff submit and track requests?

Bottom line

There isn’t a universal winner. It comes down to scale, sophistication, and priorities:

  • UpKeep is the better choice for organizations looking to streamline their maintenance program and track technician progress.

  • Zoidii is the better choice for teams seeking a streamlined CMMS that maintenance teams can quickly implement, easily roll out to multiple sites, offering transparent pricing and hands-on support, all without the overhead of configuring a sprawling feature set.
If you’re still undecided, let the data decide: run parallel pilots and track time-to-closed-WO and PM compliance for two weeks. The platform that shortens the cycle and produces dashboards your leadership actually reads is the one you should buy.
